How can I credit goods into stock after I've saved a credit note?

When a user creates a credit note in Jiwa, the credit note is given a reason code. Associated with each reason code is an indicator of whether the goods should be added back into stock or not. For example, if the goods were damaged in transit you wouldn’t want them returned to stock where they may be sold. If the customer is simply returning an incorrect item then you would want the goods returned to stock.

If the goods are to be returned to stock, Jiwa does this on Save of the credit note. This creates the stock on hand record in the warehouse. The goods are now available to be sold on another order even though the CN is not processed.

What if the user credited into stock, but now doesn’t want to credit into stock? Unfortunately there’s a strong risk that the stock will already be sold by then. Unticking the CN won’t work because the stock no longer exists. Unticking doesn’t remove the stock on hand lines, we’ve protected them.

That’s why the Credit Goods into Stock check box is not editable after save. It’s greyed out.

The workaround is to delete the inventory rows from the credit note, then process the credit note and start a new one. Deleting the inventory rows will zero the stock on hand record. See related article:

What if the user didn’t credit the goods into stock, but now wishes to credit them into stock? For example, the condition of the returned stock had to be examined before we would accept them back. Here, we can help you.

As long as the original reason code for the credit note did not credit the goods into stock on save, then we can add a button to the sales order menu ribbon that will allow the user to later credit goods into stock.

Therefore, we strongly recommend the default reason code for CNs leaves CreditIntoStock unticked.

Now if we create a new credit note based on a sales order, the Credit Goods Into Stock is unticked.

Click Save, the stock is not added and the checkbox is greyed out.

But now we have a new button that allows us to add the stock.

Click the button and the box is ticked without changing the reason code, and the inventory items are added to stock on hand.

Remember, this only works in one direction so you only get one chance to change your mind.
