Customer (Debtor) Statements

Debtors Statements are emailed or printed in two ways:

  • From the menu - Debtors > Statements (and a form loads for criteria selection)

  • Debtor Maintenance - Print > Debtor Maintenance Statement which prints what's currently displayed in the Transactions tab

Debtor Groups can be used to control which customers receive their statements by email or by post in printed format. Printing is controlled by the Printer Group attached to the logged in user. The Statement form can be used to produce bulk statements or individual statements where required. An As At date is entered in the form and statements are produced displaying outstanding invoices and unallocated credits at that date.

 

Changing the email recipient of the statement

By default, statements are sent to the email address in the header of the debtor record. This is also to whom invoices and quotes are emailed. Some customers may want the statement to go to a different contact than the invoices. In this case we have a standard Jiwa plugin which modifies the recipient email address used when emailing statements. Rather than use the email associated with the debtor, this plugin will find all contacts on the debtor with the primary, secondary or tertiary position of "Email Statements" and and use those addresses instead. Where the position is not found, the email address for the debtor record will be used.

The plugin is called Debtor Statement Emailing.

  1. Enable the plugin, then log out and log in again.

  2. Create a new Contact Position called “Email Statements”. Note the 's' on the end, it’s not ‘Email Statement’.

  3. Assign that position to the appropriate contact on the debtor.
